At Manheim, we’re always looking for ways to streamline the wholesale experience for our buyers. That’s why we’re making important updates to our arbitration form and submission process.

These updates ask for a few additional details when you submit a claim. Sharing that information upfront helps provide a more complete picture of your claim and may reduce requests for additional information later on. Here’s everything you need to know about the changes coming live October 26th:

Multiple issues can now be highlighted on a single claim

You can now describe the complete picture of everything you found with a vehicle in a single form, giving our arbitration team a more complete view of the reported issues during review.

Odometer photos & repair costs are now required

You will now need to include photos of the vehicle’s odometer at the time you initially submit each form, along with an estimated repair cost for each issue. Providing this information up front may help reduce follow-up requests during the review process.

More clarity around eligibility

When submitting a claim that may not meet the eligibility requirements, you’ll see an alert describing the potential eligibility concern before you submit, giving you greater visibility upfront. You can still submit a claim that may not qualify, but you’ll be asked to acknowledge that it could be rejected.

Additional questions

We’ve added questions to the form that help provide our team with more complete information for review. These questions will vary depending on the type of issue being submitted and help support claim review.

These updates are designed to help you better understand what information is needed, while helping you submit a more complete claim and continuing our efforts to streamline the submission process and improve your experience.

FAQS:

  • When does this new arbitration submission form go live?
    • You will see the new arbitration submission form go live on October 26th, 2026. Claims prior to that date will continue through the existing form.
  • Does this change the Manheim arbitration policy?
  • What are the new required fields?
    • We will ask that you have the estimated repair cost and the odometer photo to submit your claim. Collecting those up front is intended to reduce follow-up later on in the process.
  • What if I do not have access to an odometer photo?
    • You will still be able to submit your claim but you will be required to submit the odometer photo to your arbitration team member before your case can be finalized.
  • Do I need to have proof of the repair cost?
    • If you have documentation from a repair shop, please upload it during the claim submission. If you do not have documentation, you can input an estimated repair cost to complete the claim.
  • What does an eligibility alert mean?
    • An eligibility alert means that the claim may not meet certain arbitration eligibility criteria (i.e. not meeting a mileage requirement, etc).
  • Will I still be able to submit my claim with the eligibility alert?
    • Yes. You will still be able to submit your claim and it will still be reviewed by the arbitration team but you will be asked to acknowledge that it may be rejected based on that eligibility alert.
  • Where can I get help with the arbitration claim form?
    • If you need further support, please contact Manheim Client Care at 855-269-2886.
